Manage daily accounting functions, including accounts payable, accounts receivable, reconciliations, and general ledger.
Handle client invoicing, billing, and collections to ensure accuracy and timeliness.
Maintain financial systems and accurate record-keeping in QuickBooks and Excel.
Serve as the primary point of contact with the external CPA regarding tax planning and reporting.
Operations
Manage vendor relationships, contracts, and office services.
Interact with external IT vendor to ensure employee support tickets are resolved promptly; assist with laptop inventory and setup in partnership with IT vendor.
Support HR processes, including onboarding, payroll inputs, and benefits administration (through PEO provider).
Oversee insurance renewals, compliance documentation, and coordination with external advisors.
Identify and implement process improvements to enhance efficiency across finance and operations.
Provide operational support to leadership and staff to ensure a smooth day-to-day working environment.
General
Act as a reliable point of contact and flexible problem-solver across the firm.
Juggle competing priorities with a calm, solutions-oriented approach while upholding high standards of accuracy and confidentiality.
Perform additional ad-hoc operational, administrative, and project tasks as needed to support the agency’s small-team environment and evolving priorities.
Bring a positive, can-do attitude that helps keep operations running smoothly so client-facing staff can focus on growth and client needs.
Requirements
Qualifications
Associate’s degree in Business or a related field required.
Strong interest in streamlining operations and introducing cost-efficiency practices while collaborating with account leaders on budgets.
Tech-savvy with a focus on implementing automation where possible..
3–5+ years of experience in operations, administrative, or similar coordination roles (professional services or agency environment preferred).
3–5+ years of bookkeeping experience.
Proficiency in QuickBooks and Excel; experience with payroll/HR systems is a plus.
Experience coordinating with external vendors and providers for HR, IT, finance, and facilities.
Exceptional organizational skills and attention to detail.
Strong communication skills and sound judgment.
Unflappable personality and ability to thrive in a fast-paced environment.
Must be able to work a hybrid schedule with 2–3 days per week in our downtown Boston office.
